The 4 best expense tracker apps for Mac (2026)

Receipts, GST invoices and a tidy year end: four Mac apps for freelancers and small businesses, compared on price, GST support and where your books are kept.

Short answer

The best expense tracker apps for Mac in 2026 are Zoho Books (best for full cloud accounting with GST filing, free for smaller businesses), Kitty (best for keeping receipts, GST invoices and year-end files private on your Mac, with no subscription), Vyapar (best for shops that need GST billing with inventory) and GrandTotal (best native Mac invoicing outside India, with VAT and foreign currencies). If you only log a few expenses a month, Apple’s free Numbers app has budget and invoice templates that may be enough.

Disclosure: We make Kitty, one of the apps on this list. We’ve tried to place it where it genuinely fits and to describe every app fairly, using each developer’s own site. Prices and features checked 28 October 2026.

“Expense tracker” means different things to different people. A freelancer wants somewhere to drop receipts. A consultant needs GST invoices with CGST and SGST or IGST chosen correctly. A shop needs billing tied to stock. And everyone eventually hands an accountant a year of records. Some apps keep all this in the cloud; others keep it on your Mac. We’ve labeled each pick by the job it does best.

1. Zoho Books and Zoho Invoice: best for full GST accounting in the cloud

Best for
Indian businesses that want invoicing, expenses, banking and GST filing in one place
Price
Zoho Books: free plan; paid plans from ₹749/month billed yearly, plus taxes. Zoho Invoice: free in India
Runs locally
No; your books live in Zoho’s cloud
Requires
A Zoho account; web, iPhone, iPad and Android, and a Mac App Store app that needs macOS 13 or later
Website
zoho.com/in/books

Zoho Books is the default answer for many Indian freelancers and small firms: it covers almost every accounting job, and its free plan is generous. Zoho Invoice is the lighter sibling for people who mostly bill clients. Both have a Mac App Store app, but they are cloud services; the app is a window onto your Zoho account.

Standout features

  • GST reports and direct integration with the GST portal, so you can file returns from Zoho Books.
  • IRN-validated e-invoices, e-way bills and delivery challans (e-invoicing is on Standard and above).
  • Bank feeds that fetch and categorise transactions, plus bank reconciliation on every plan.
  • Receipt autoscan: 50 scans a month on the free plan and 200 or more on paid plans, with add-on packs.
  • Zoho Invoice: free GST invoicing, billable expenses and GSTR-1 filing once connected to the GST portal.

Limits

  • Everything is stored with Zoho. There’s no option to keep your books only on your Mac.
  • The Zoho Books free plan is for businesses with revenue up to ₹25 lakh in the financial year, with 1 user plus 1 accountant and up to 1,000 invoices a year.
  • Zoho Invoice’s free plan allows up to two users, three projects and 500 invoices a year, and adds “Powered by Zoho Invoice” branding.

Price: Zoho Books is free up to ₹25 lakh revenue a year. Paid plans run from Standard (₹749/month billed yearly, ₹899 monthly) to Ultimate (₹7,999/month billed yearly), per organisation, excluding taxes. Zoho Invoice is free for Indian businesses.

Who it’s for: businesses that want GST filing, e-invoices and bank feeds handled in one service, and are happy for their books to live online.

2. Kitty: best for receipts and GST invoices kept on your Mac

Best for
Freelancers and small businesses who want receipts, invoices and GST in a native Mac app, without a cloud account
Price
One-time purchase from ₹1,999 (1 Mac); ₹3,299 for 3 Macs, ₹4,499 for 5
Runs locally
Yes; receipts are read on your Mac and your books are one folder on it
Requires
macOS 14 Sonoma or later, Apple silicon & Intel

Kitty showing a GST tax invoice with CGST and SGST and a UPI QR code
A GST invoice in Kitty, with the tax split and a UPI QR code for the amount due.

Kitty is our app: a petty-cash tin for freelancers and small businesses. Drop in a receipt photo, PDF or saved email and Kitty reads it with Apple’s on-device text recognition, then files the receipt next to the expense. When you bill a client, it picks CGST + SGST or IGST from the place of supply. At year end, your accountant gets everything in one folder. There’s no account and no server.

Standout features

  • Receipt reading for photos, PDFs and saved .eml emails: vendor, date, total, tax, the CGST/SGST/IGST split and GSTIN, all editable.
  • GST chosen from the place of supply: CGST + SGST (or UTGST) within a state, IGST between states, and zero-rated exports and SEZ supplies under LUT or with IGST. GSTINs are checked down to the check digit.
  • A4 invoices with your logo, bank details, amount in words, an HSN/SAC summary and, on rupee invoices, a UPI QR code for the balance due.
  • Numbering without gaps: series such as INV/{FY}/{###} restart each financial year, and issued invoices can be voided but not deleted.
  • Part payments, TDS, credit notes, estimates that become invoices, and payment reminders that open as drafts in Mail with the PDF attached.
  • Bank statement import from CSV, OFX, QFX or QIF (or our Tabulate app’s exports), with suggested matches for each line.
  • Reports: monthly profit and loss by invoice or by payment, spending by category, GSTR-3B style and GSTR-1 style summaries, and what you’re owed.
  • A year-end bundle: every invoice and credit note as PDF, every receipt renamed by date, vendor and amount, CSVs and a GST summary, zipped.
  • Works outside India too, with VAT or sales tax and any currency at the exchange rate you type in.

What it doesn’t do

  • It doesn’t file returns. There’s no GST portal connection, no e-invoice IRNs and no e-way bills; you or your accountant file from its summaries. Zoho Books does these.
  • Reverse-charge supplies and cess aren’t handled.
  • It doesn’t connect to your bank or fetch exchange rates. You import statements your bank lets you download and type the rate you were given.
  • It’s for one person’s books on one Mac at a time (the folder can live in iCloud Drive). There are no user roles, payroll or inventory.
  • It’s Mac-only, so there’s no phone app for snapping receipts on the go.
  • Faded thermal paper, handwriting and crumpled photos may need corrections after reading.

Price: one-time purchase, no subscription, no account: ₹1,999 for 1 Mac, ₹3,299 for 3, ₹4,499 for 5. Free updates and a 14-day refund.

Who it’s for: freelancers, consultants and small studios who want GST-correct invoices and every receipt in order, and would rather their books stayed on their own Mac.

3. Vyapar: best for shops that need GST billing with inventory

Best for
Retailers and traders who bill over the counter and track stock
Price
Free plan with basic features; paid plans (Silver, Gold and above). The site didn’t show plan prices when we checked; the App Store version lists in-app plans from ₹999
Runs locally
Works offline and syncs when you reconnect; the mobile and desktop apps can sync
Requires
A Mac download from Vyapar’s site (no minimum macOS stated), or the iPad app on an Apple silicon Mac with macOS 13.3 or later; also Windows, Android and iOS
Website
vyaparapp.in

Vyapar is GST billing and accounting software for Indian small businesses. Its site offers a Mac download, and its iPad app can also be installed on Apple silicon Macs from the App Store. It suits a business that bills customers at a counter more than a freelancer tracking expenses.

Standout features

  • GST-compliant invoices with multiple tax rates on one bill and tax worked out from MRP.
  • E-invoice and e-way bill generation from within the app.
  • GST and tax summary reports, with automatic bill numbering.
  • Offline billing that keeps working during an internet outage, and sync between the mobile and desktop apps.
  • Inventory and stock built in, which the other apps here don’t focus on.

Limits

  • The App Store version is labeled “Designed for iPad. Not verified for macOS.” It needs an M1 or later Mac.
  • Vyapar’s Mac page doesn’t say whether your data is stored on the Mac or in the cloud, or list system requirements.
  • Its App Store privacy label lists contact info, user content, identifiers and usage data as linked to you.
  • We couldn’t read plan prices on the official pricing page, so check them before you buy.

Price: a free plan with basic features, and paid plans for more firms and features. The App Store version lists in-app plans from ₹999; the official site didn’t display prices when we checked.

Who it’s for: shops and traders who need fast GST billing, stock and e-way bills, and who may also bill from a phone.

4. GrandTotal: best for native Mac invoicing outside India

Best for
Freelancers in Europe and elsewhere who invoice in VAT and foreign currencies
Price
Subscription, monthly or yearly: S €5.90, M €7.90, L €9.90, XL €14.90 a month
Runs locally
Yes; data stays on your Mac, with optional cloud editing for teams
Requires
macOS 10.15 Catalina or later
Website
mediaatelier.com

GrandTotal from Media Atelier is a native Mac invoicing app, now at version 10. Its developer says your financial data stays on your own computer, with no external server. It tracks costs and payments alongside invoices, so it doubles as a simple expense ledger.

Standout features

  • Invoices, credit notes, costs, payments, customers, VAT, reports and CSV/PDF export on every plan.
  • Estimates and QR codes from the M plan.
  • E-invoice formats, inbound invoices, work time recorders, DATEV export and a German VAT return on L.
  • Foreign currencies and flexible tax settings, with layouts in different languages.

Limits

  • The site doesn’t mention India or GST beyond Australian and New Zealand formats, so there’s no CGST/SGST/IGST split or GSTR summary to rely on.
  • It’s now a subscription, and many features depend on the plan you pick.
  • Prices are shown in euros only; yearly prices weren’t shown when we checked.

Price: subscription billed monthly or yearly, from €5.90 a month (S) to €14.90 a month (XL). You can change plan at any time.

Who it’s for: freelancers outside India, especially in Germany and the EU, who want a native Mac invoicing app with local data.

The built-in option: Numbers templates

If you log a handful of expenses a month and send the odd invoice, Apple’s Numbers may be all you need. It’s included with every new Mac. An optional Apple Creator Studio subscription unlocks premium content; the app itself stays free.

Start from a template

Open Numbers, choose File › New, pick a template in the template chooser and click Create. Apple’s guide describes templates for creating a budget, tracking savings and drafting an invoice, and Personal Finance is one of the categories in the chooser. Replace the sample rows with your own.

Add up spending and GST with formulas

Keep one row per expense. If column C holds categories and column D amounts, this totals one category:

=SUMIF(C,"Travel",D)

For an intra-state invoice at 18% GST, CGST and SGST are each 9% of the taxable value. With the taxable value in B2:

=ROUND(B2*9%,2)

Share it with your accountant

Choose File › Export To and pick PDF, Excel or CSV. To copy a total from a receipt photo, open it in Preview or Photos and select the text with Live Text.

The catch is that nothing is linked. Receipts sit in a folder, invoice numbers are typed by hand, and nothing checks a GSTIN or chooses IGST for you. That’s fine at low volume.

How we picked

  • Runs on a Mac today. Each pick has a Mac app or a Mac download on its developer’s site. We left out apps whose Mac support or pricing we couldn’t confirm on the official site.
  • Tracks expenses and bills clients. Freelancers and small businesses need both, so pure personal budget apps weren’t considered.
  • GST in mind, but useful elsewhere. We noted which apps handle Indian GST and which suit VAT and other currencies.
  • Clear about where data lives. We say whether your books stay on your Mac or sit in the cloud.
  • No scores or ratings. We describe what each app does and doesn’t do.

We make Kitty. We ranked it second because Zoho Books does more for most Indian businesses: GST filing, e-invoices, bank feeds and several users, free for smaller firms. Kitty is the pick if you want receipts, GST invoices and year-end files kept privately on your Mac for a one-time price.

FAQ

What is the best expense tracker app for Mac?

It depends on the job. Zoho Books is best for full cloud accounting with GST filing, Kitty for receipts and GST invoices kept on your Mac, Vyapar for shops with inventory and GrandTotal for invoicing outside India. For a few expenses a month, Apple’s free Numbers templates may be enough.

Is there a free expense tracker for Mac?

Yes. Numbers is free and has budget and invoice templates. Zoho Books has a free plan for businesses with revenue up to ₹25 lakh a year, and Zoho Invoice is free for Indian businesses, both with a Mac app. Vyapar also has a free plan with basic features.

Which Mac invoicing apps support Indian GST?

Zoho Books, Zoho Invoice, Vyapar and Kitty all produce GST invoices. Zoho Books and Vyapar also generate e-invoices and e-way bills. Kitty chooses CGST and SGST or IGST from the place of supply and prints a UPI QR code, but doesn’t connect to the GST portal.

Can I keep my business expenses offline on a Mac?

Yes. Kitty and GrandTotal keep your data on your Mac with no account required. Vyapar works offline and syncs when you reconnect. Zoho Books and Zoho Invoice are cloud services, so your books are stored with Zoho.

Does Vyapar work on Mac?

Yes. Vyapar’s website offers a Mac download, and its iPad app can be installed from the App Store on Apple silicon Macs running macOS 13.3 or later, though Apple labels it as not verified for macOS.

Can an expense tracker file my GST returns?

Zoho Books can, through its GST portal integration, and Zoho Invoice can file GSTR-1 once connected. Kitty gives GSTR-1 and GSTR-3B style summaries with HSN totals for you or your accountant to file, but doesn’t file them itself.

Key takeaways

  • Pick by job: cloud GST accounting (Zoho Books), private receipts and GST invoices (Kitty), shop billing and stock (Vyapar) or invoicing outside India (GrandTotal).
  • Zoho Books is free for businesses with revenue up to ₹25 lakh a year, but your books live in Zoho’s cloud.
  • Within a state, GST splits into CGST and SGST; between states it’s IGST. A good app chooses this from the place of supply.
  • Numbers is free and fine at low volume, but nothing in it checks GST or links receipts to expenses.
